Cabot Corporation is seeking a Payroll Manager to join the evolving HR Shared Services & Operations team at the Billerica, MA Cabot location.

The NA Payroll Manager is responsible for leading a team in the delivery of Cabot’s payroll in Canada and the US. This is a critical role for the organization and the successful candidate will not only manage the function but have the freedom to continuously improve the work we do.  This role has accountability to ensure the payroll is processed accurately and compliantly covering all aspects of local, state and federal employment taxes and regulation, reporting, business and employee inquiries and issue troubleshooting to resolution.  Day-to-day management of a team member and the payroll vendor forms part of the role.

As part of the wider HR team, this position represents the payroll function on cross functional HR projects, collaborates across HR and works closely with the HRIS and Benefits team to identify gaps, and lead payroll improvement projects.  There is also the need to work collaboratively with colleagues in other teams including Controls, Internal Audit, and Finance.  Where areas for improvement are identified, this role will be in the driving seat to ensure that changes are understood, documented and implemented successfully.

 

This role is based in Billerica, MA and is eligible to participate in Cabot’s current Flexible Working Arrangement (hybrid) program of in-office days Tuesday, Wednesday, Thursday.

How You Will Make an Impact

  • Ensure payroll is governed and processed consistently, accurate, timely and compliantly. This includes preparing files to send to Cabot’s payroll vendor to process the biweekly production of payroll for the U.S. and Canada, including garnishments, benefit contributions and payroll related taxes for over ~1,300 employees consistent with federal and multi-state wage and hour laws for all hourly and salaried employees.
  • Administration of the in-house time management system; as well as reviewing and submitting hours received from multiple Cabot sites for processing.
  • Audit / verify 3rd party processing of statutory reporting and compliance filing(s) to ensure accuracy, compliance and timeliness. This includes weekly/monthly/quarterly payroll taxes and W2’s and T4s.
  • Partner with Accounting to provide payroll register information and other necessary reports to coordinate banking arrangements related to payroll funding, check reconciliation and other related matters.
  • Act as the point of contact for Internal Audit and Controls.
  • Ensuring pay and the GLs are accurate.
  • Lead, manage and provide direction to the Payroll Specialists.
  • Team development includes building training and educational plans to learn 1. technical as well as soft skills, 2. maintain professional designations, 3. keep up to date with legislation changes, 4. best practices in payroll management, 5. Cross training on different aspects of payroll operations to increase versatility and backup coverage.
  • Establish and review standards and procedures and resolution of technical issues and complex problems.
  • Provide expertise in resolving issues.
  • Work collaboratively across teams, providing actionable insights to help drive optimal payroll processing and drive continuous improvement.
  • Support payroll compliance by updating payroll processes and participating in various internal and external audits – including Sarbanes Oxley
  • Manage the payroll vendor for all system maintenance and implementation of updates, especially configuration of earnings and deduction codes, ensuring robust testing and validation.
  • Represent payroll for company initiatives including those relating to new technology implementations.

What You Will Bring to Cabot

  • A bachelor’s degree in HR, Finance or Business Administration OR in lieu of a degree, Payroll Certification(s), plus payroll processing experience required
    • Preferred Certifications:
      • Certified Payroll Professional (CPP) from PayrollOrg
      • Certified Payroll Manager from the National Payroll Institute
  • 7+ years payroll processing experience required
  • Workday payroll processing experience required
  • 3+ years of supervisory/management within a payroll department, including direct experience in leading and developing a team is required
  • Experience of processing payroll for Canada and the US with knowledge of US local, state, and federal employment and tax law
  • Payroll processing experience for 1,000+ employees across multiple locations.
  • Experience in implementing and scaling systems and managing change
  • Experience with UKG Pro a plus
  • Excellent problem solver with strong communication and organizational skills
  • Ability to multi-task and juggle competing priorities in a fast-paced environment
  • Strong work ethic coupled with the ability to handle confidential information with integrity
  • Self-starter with excellent attention to detail and emphasis on accuracy and quality
  • Has a collaborative approach to working with internal customers with the appropriate sense of urgency
  • Proven customer service skills are required in order to create, maintain, and enhance customer relationships
  • Proficient in Microsoft Excel, Word, and PowerPoint to support the HR Shared Services team and other departments as needed
